Job Site Tracking in DoliPlus
DoliPlus’s construction site monitoring helps construction companies manage their projects, both on-site and from the office. This allows you to track progress, requirements and profitability for each site in real time.
When paired with the mobile app, this tool significantly boosts operational efficiency. It also centralises all information within your management system.
Note: The Works module must be activated and configured. It is subject to special pricing.
What is construction site monitoring for?
The module takes quote stages, organised by work packages, and converts them into orders. You then initiate a new two-phase site monitoring process:
- Daily site visits, typically conducted by site managers;
- Weekly site meetings with project supervisors.
On-site, you input data via DoliPlusMobi, the Android and iOS app. Crucially, it works offline. Its ergonomic design enables one-handed operation, voice dictation and photo capture.
Concretely, each quote line can then include multiple details:
- A progress report;
- Photos;
- Completion percentage;
- Staffing requirements;
- Equipment needs;
- Material requirements.
During synchronisation, these three requirements automatically trigger actions in designated staff’s calendars. They also receive alert emails.
Unlike specialised standalone apps, this solution syncs everything within DoliPlus. You can cross-reference photos, progress and financial data to monitor site status at any time.
Daily visits and site meetings

When activating the module, a “Works monitoring” button appears on customer orders. First create the “Works” process: a link then appears at the order’s bottom.
This process subsequently groups all monitoring by date. Meanwhile, the “Works” menu lists all active sites with dates and statuses.
The lifecycle is simple: draft (preparation), validated (input enabled), closed (input locked).

After creation, configure works monitoring:
- Assign internal resources in the Contacts tab;
- Upload PDFs (technical specifications, plans) to the document library, synced with DoliPlusMobi;
- Record notes in public or private sections;
- Access order lines in the Work packages/sub-packages tab;
- Adjust these lines (delete, modify, add, reorder);
- Finally validate monitoring to begin recording visits.
Opening the site from the order, step by step
- On the validated (or in-progress) customer order, click “Suivi de travaux” in the button bar (“Create/edit/close tasks” permission). The button disappears as soon as a site exists for this order: one site per order.
- The reference is assigned automatically. The “Worksite name” takes the order’s customer reference: rename it if needed (“Lambertin kitchen renovation”).
- “Worksite manager name”: type the site manager’s name and select it from the list; this person becomes the “Responsable travaux” in the site contacts.
- Enter the “Work start date” and the “Work end date” (required, editable later on the site card), and a public or private note if needed.
- “Create draft”: the site opens, linked to the order, the customer and the order’s project. Each order line has become a work package of the site.
Validating, closing and reopening a site
- “Validate” (draft site): the site switches to “Approved”, without confirmation. The “Time entry” tab appears, visits and meetings can be recorded, and the site joins the list in the mobile app.
- “Close” (approved site): the site switches to “Completed”; it disappears from the mobile app.
- “Reopen” (completed site): it returns to “Approved”.
- “Delete” (“Delete tasks” permission): after confirmation, deletes the site and all its dependencies — follow-ups, work packages, schedules, ECM documents.
The site’s name, dates and project can be corrected with their pencil icon on the card. The Works menu › “Work List” lists all sites (status, customer, originating order, planned dates); with the “Restrict task viewing to only those where I’m assigned” permission, each user only sees the sites where they appear in the contacts.
Participants, work packages and notes
The site card has its own tabs: “Tracking”, “Contacts”, “ECM”, “Order lines”, “Note” and, once validated, “Time entry”.
- “Contacts”: “Users” row for a colleague (roles “Chef chantier”, “Collaborateur chantier”, “Responsable travaux”, “Responsable”), then “Add”; “Third party contacts” row for the customer’s contacts (“Architecte”, “Maître d’oeuvre”, “Architecte d’intérieur”, “Expert bâtiment/construction”, “Responsable HSE”, “Collaborateur chantier”, “Adresse chantier”). These role labels are displayed in French. The “Adresse chantier” contact gives the mobile app the site’s address and phone numbers. The bin icon removes a participant.
- “Order lines”: each order line is a work package, tracked in the reports. The icons deactivate a work package (it is no longer included in new reports), edit its text or delete it; drag the lines to change their order. “Add a line” creates a work package that was not in the order (unforeseen items, additional work).
- “Note”: the private note stays internal (access codes, instructions, on-site contacts); it is saved as you type, or with “Save all notes”. The public note can no longer be edited once the site is validated.
Recording new site monitoring
The works line must first be in validated status.
Via DoliPlus web application
You can record monitoring via the web interface. However, we recommend reserving this for consultation, as the mobile app remains better suited for on-site data entry.

Step by step, from the web:
- On the validated site card, click “New follow-up” (“Create follow-up – visit/meeting” permission).
- Today’s date and a title are suggested; choose the type, “Site visit” or “Site meeting”. Only one follow-up per day and per site: if DoliPlus replies that a follow-up already exists for this date, change the date or complete the existing follow-up (“Edit” in the follow-up list).
- Once saved, the day’s report opens (“Minutes of …”), with one line per active work package.
- For each work package, choose the progress percentage from the list: it is saved immediately.
- The report icon opens the “Report” area below the line: type what you saw (work done, snags, remaining work), then “Update”.
- The R.H, “Equipment” and “Materials” icons flag a need: each one creates an action in the calendar (“HR need”, “Material need”, “Materials needed”) that you date (“For”), assign to a site participant (“Assigned to”) and describe. The photo icon uploads a photo and lets you annotate it (drawing, rotation) before saving it.
- At the bottom of the page, “Generate” produces the follow-up PDF (dates, progress and report for each work package), stored in the site documents, ready to open and send to the customer or the project supervisor.
The report is closed with “Close” (and reopened with “Reopen”). A follow-up created from the mobile app shows “Mobile entry in progress” on the web until it has been synced.
Via DoliPlusMobi app
The app must be downloaded. The connector must also be activated and configured with user permissions.
The app detects the network. As a result, the bottom page buttons turn green when internet is available. Conversely, they disappear when offline, blocking any action.
From the main menu, click on “Work”. The “Refresh” button then updates the list of ongoing projects.

Next, from the date-based list, add a new entry with “+ Entry”.
Note: the network is still required at this stage. Plan this action in advance if the project is in an uncovered area.

Finally, specify the entry type (visit or meeting). After validation, a new entry line appears.

When you access an entry line, you update several statuses: progress, needs (human, equipment, materials), report, and photos.

Additionally, the microphone and its voice recognition let you dictate your reports.
Recall of entry history
You can also retrieve the latest recorded values on each screen. To do this, simply configure the module in the web app.

End of entry
Once the entry is complete, return to the list of lines, then sync if the network is available. DoliPlus then transfers the photos, followed by the data.
Warning: after syncing, any modification becomes impossible on the mobile. You then continue on the web app.
Two precautions on mobile: sync your entries before tapping “Refresh” — this button reloads the list of sites from DoliPlus and erases from the device any entries not yet synced; and only validated sites appear in the app (a completed site disappears from it).
Therefore, upon syncing:
- an email notifies the project resources;
- actions related to needs (human, equipment, materials) are added to the relevant calendars.

Track projects in DoliPlus
On the web, select the entry date: the corresponding tab opens. You then edit the fields and photos.

Document library: site documents and plans

On the web, two storage areas exist: “Works” for global documents (CCTP, plans), and “Follow-up” for minutes, sorted by date.
On mobile, you access the same documents via the Doc Tasks and Doc Tracking tabs. A simple swipe down then downloads them for offline viewing.
Planning: scheduled and actual attendance
You access the planning from the Works process tab, or from the main menu for a multi-site view.
What does this planning allow?
The planning lets you enter scheduled attendance, then actual attendance. You can thus organise your site smoothly.
Staff, both internal and external, must be declared in the HR section, with the required permissions. External staff (temporary) are linked to a customer or supplier.

Additionally, internal staff absences automatically feed back to HR as requests to regularise.

Using the planning
You choose a weekly or monthly view. Participation is then grouped by person, making scheduling easier.

The orange area represents a forecast, the green area a confirmed actual. You enter or modify with a simple click in the desired area.
A few rules apply:
- you cannot modify a forecast that has already been confirmed;
- two forecasts cannot start at the same time, but can overlap on different time slots;
- always check the total hours displayed at the top.
To delete an entry, you modify its duration, or right-click on an unconfirmed forecast.

The scheduling buttons. For a new entry, use
« Add to schedule » — multi-date scheduling is safe for existing entries. The chevrons, or the « Go to » button, navigate between periods.
Someone missing from the list? The « Register a new person » button adds them to the HR contract section and immediately displays them in the dropdown list.
In case of absence. Report it in the « HR absence type » field, then enter the absence duration and, if applicable, the partial attendance duration.
Scheduling a person and recording actual time, step by step
- On a validated site, open the “Time entry” tab (or the Works menu › “Global-weekly-schedule” / “Global-monthly-schedule” for all sites at once).
- “Add to schedule”: in “Concerns”, choose the person (records from the HR module; “Add a new person” creates one). Then the period “from … to …”, the planned “Duration” per day and the starting half-day (“starts on”). One line is created for each day; “OK” saves.
- Each day shows the planned and actual hours, with totals on the right (“Total Est.”, “Total Actual”). Click a day’s actual cell: enter the duration actually worked, or an absence (“Absence Duration” and its type: sick leave, holiday, unpaid leave…), with a note, then “OK”.
- Right-clicking a cell offers “Delete this entry” or “Delete from date to date”.
When the leave display option is enabled (see the configuration), leave validated in the HR module appears in the schedule, and an absence recorded for an employee creates their leave request in HR (DoliPlus refuses if the person is already on leave that day).
Timesheet
Finally, the timesheet extracts confirmed attendances and absences for management purposes.
Works menu › “Timesheet”: one line per recorded attendance or absence (non-zero actual time or absence) — user, the person’s third party (for example the temp agency), site, date, start of activity, attendance, absence, absence type, linked leave request and note. The status, order and project columns can be added on demand. Filter by text and by period, then export to PDF, Excel or CSV.

Configure the module
You configure the module from Works → Configuration, as soon as it starts. Additionally, you add custom fields to the job description via the « Configure » button.
Works menu › “Configure” (administrator), “Setup” tab, Planning section:
- “Exclude Saturdays from schedule” and “Exclude Sundays from schedule”: these days are no longer displayed and are not scheduled; the button takes effect as soon as you click it.
- “Show leave, sick days for staff”: leave and sick leave validated in HR appear in the schedule, and recorded absences become leave requests.
- “Morning time” and “Afternoon time” (8 am and 2 pm by default): they split the schedule’s days; “Save” confirms these times.
“Document management” tab: the site numbering mask (TVX{yy}{mm}-{00000} gives TVX2610-00001: year, month, counter) — click “Edit” to save it, even if it is already displayed, otherwise no reference is suggested on creation; existing sites keep their reference. Below, the follow-up document template: the tick makes it available, the star makes it the default template.
