Why contact management software sits at the heart of your CRM
Your DoliPlus solution includes contact management software that keeps every business relationship in one shared file:
- customers, prospects and suppliers stored side by side, in the same place;
- as many contacts as you need behind each company: billing, delivery, accounts;
- automatic customer and supplier codes, so every record stays unique;
- a document space on every company card;
- access rights that follow your teams and your managers.
As a result, your quotes, invoices and emails always reach the right person. DoliPlus is the enhanced cloud edition of Dolibarr, the open-source ERP & CRM used across Europe.
Companies and contacts: what the difference changes for you
A company stands for an organisation: a customer, a prospect, a supplier or a partner. A contact, meanwhile, stands for a person or an address inside that company — for example a billing address or a delivery address.
Most other features build on top of this. Indeed, invoices, orders, contracts and quotations all start from a company. Therefore, a clean company file feeds your whole business.
Besides, a company only has two states: open or closed. That simplicity keeps your database readable, even after years of activity.
Create a company in a few clicks
First, choose what you are creating: “New prospect”, “New customer” or “New supplier”. DoliPlus then pre-fills the matching fields for you.
Moreover, the software can generate the customer or supplier code automatically. That way, every record carries a unique reference, and nobody creates the same company twice.
Once you save the company, you can attach documents to it from its document tab. Note one deletion rule, however: you may only delete a company that carries no invoice, contract or order. Otherwise, simply set it to “closed” — its history stays intact.
Add the contacts who really receive your documents
Contacts complete the picture. Create as many as you need: a billing contact, an accounts contact, a delivery address. Two routes exist:
- through Companies → Contacts → New contact: the contact may stay independent;
- through the customer or supplier tab of a company, “Create a contact”: the contact then belongs to that company.
Afterwards, these contacts become the recipients of your emails, quotes and invoices. Read more about importing contacts
Print a document straight from a company card
You can also generate a document directly from a company card, using your own template (.odt or .doc). You upload those templates through Tools → Documents and Templates → Document templates → Companies.

Each company card also carries a default language field. Fill it in, and every document you print for that customer comes out in their language — product names and descriptions included, provided your catalogue is translated. Translate your product catalogue
Access rights that follow your teams
Finally, you set permissions by group first, then user by user when needed. In addition, thanks to the hierarchy defined in user management, a manager reaches the companies and documents of their own team.

The module setup, for its part, rules the company codes and the format of the accounting codes.
What good contact management software brings you
A messy customer file slows down the whole company. Well-kept companies and contacts, on the contrary, become a reliable reference that everyone shares.
In short, you gain on three fronts:
- one single database: customers, prospects and suppliers in the same place;
- targeted exchanges: the right contact receives the right document;
- a foundation for your ERP: invoices, orders and contracts all rely on it.
Above all, contact management software only pays off when your team trusts the data. Therefore, take the time to set your codes and rights once — you will keep the benefit for years.
